This printable wedding planner puts your whole wedding in one binder. Budget, guest list, vendors, seating, the ceremony, the reception and the day itself. It’s 199 pages, it comes in US Letter, A4 and A5, and there’s a fillable PDF version too, so you can type on screen or print and write by hand. Or do a bit of both.

Most couples start with a notes app, a spreadsheet and a pile of screenshots. Six weeks later nobody can find the florist’s quote. This planner fixes that. Every page has a job, and they follow the order you’ll actually plan in.

What’s inside the printable wedding planner

The planner is split into 15 tabbed sections. Every section after Start Here opens with a divider page that lists its pages, and on screen you can tap any title to jump straight there.

Start Here (12 pages)

  • Three covers to choose from: charcoal, blush or ivory
  • Welcome page, a Print Map with page ranges, and a two-page clickable contents
  • Wedding at a Glance, Our Priorities, Vision Board, Inspiration Board and Important Contacts

Budget (9 pages)

  • Budget Overview with a space to write your currency
  • Budget by Category with a starting percentage split you can change
  • Three Expense Log pages, two Payment Schedule pages and a Tips & Gratuities planner

Checklist and Calendar (52 pages)

  • 80 ready-made tasks, grouped from 12+ months out to the week after the wedding
  • 12 undated monthly calendars, each with a This Month focus page
  • 12 weekly pages for the final countdown and 7 hour-by-hour pages for wedding week

Vendors (30 pages)

Thirteen vendor types each get a compare page and a booked page: venue, caterer, photographer, videographer, florist, DJ or band, cake, hair and makeup, officiant, rentals, transportation, stationery and planner. Each compare page holds three quotes side by side and six questions worth asking. You also get a Vendor Directory, a Venue Visit Checklist and a Before You Sign contract checklist.

Guests and Seating (25 pages)

  • Ten numbered guest list pages with room for 240 to 290 guests, depending on page size
  • Columns for group, invited, RSVP, attending, meal, table, gift and thank-you note
  • Guest Count & Meals summary, hotel room blocks and out-of-town guests
  • 30 round tables with ten seats each, head and long tables, two floor plans and cut-out table tokens

Attire, Wedding Party, Ceremony and Reception (37 pages)

  • Shopping appointments, attire comparison, fittings, accessories and a hair and makeup trial page

Why this wedding binder is different

  • Print it or type it. Two fillable PDF versions let you type into every line, table and notes box, and tick boxes on screen.
  • Easy to find your way around. Clickable contents, PDF bookmarks, a Contents link in every footer and side tabs in the fillable files.
  • Print only what you need. The Print Map lists the page range for each section, so you can skip the vendors you aren’t hiring.
  • Ready-made content. Tasks, vendor questions, the day-of timeline, the emergency kit and the photo shot list are already filled in. You just tick and tweak.
  • Ink-friendly. Inside pages use light lines and soft blush accents. The dark color stays on the cover.
  • For every couple. Forms say Partner 1 and Partner 2.
  • Any currency. Money columns are labeled Amount, Paid or Total, with $ used in the examples.

How it works

  1. Buy and download your files right away. No waiting, nothing shipped.
  2. Pick a size. Print at 100% or Actual size, or open a fillable file on your computer or tablet.
  3. Fill in Wedding at a Glance, your priorities and your budget first. Then follow the checklist month by month.
  4. Hand the day-of pages to your coordinator or a trusted friend two weeks out.

Customizing your planner

The page layouts are fixed, which keeps everything lined up when you print. What you put on them is up to you. Choose a cover, print extra guest list or expense pages if you need more rows, and use the blank lines on every checklist for your own tasks. The calendars are undated, so you can start in any month of any year.

When couples use it

  • Right after the engagement, to agree on a budget and a guest count before touring venues
  • Comparing three photographers whose prices all looked the same online
  • Building the seating chart around the relatives who should not share a table
  • Giving the maid of honor the who-does-what page so she isn’t texting you at 7 a.m.
  • As an engagement gift for a friend who just said yes
