Picking a printable wedding planner sounds like a five-minute job. Then you search, and there are hundreds. Some are 30 pretty pages and a lot of white space. Some are 500 pages and you wonder if you’ll ever print them all.
The best printable wedding planner is the one you keep using in month eight, when the excitement has worn off and the vendor emails are piling up. That’s what this guide is about.
We put seven planners side by side: page counts, paper sizes, whether you can type into them, whether they do any maths for you, and who each one actually suits. Below you’ll find the quick picks, a comparison table, a proper look at each planner, and a buying guide for choosing your own.

How we compared them
Page count gets all the attention. It shouldn’t. A 500-page planner you never open is worth less than 60 pages you fill in every Sunday.
So we looked at five things instead:
- Does it cover the whole job? Budget, guests, vendors, checklist, the day itself, and what happens after.
- Can you type into it? A fillable PDF means you can plan on a laptop and print only the pages you need.
- Does anything add up for you? Paper is lovely for decisions and hopeless for maths. A companion spreadsheet fixes that.
- Paper size. US Letter for North America, A4 for most other places, A5 if you want something small enough to carry to appointments.
- How easy is it to find things? Tabs, a linked contents page and section dividers matter more than you’d think when you’re on the phone with a florist.
The 7 best printable wedding planners, reviewed
Willow & Vow Wedding Planner
Best overallThis is the one to get if you want a single planner that covers everything and never runs out of pages. Willow & Vow is 500 pages across 16 tabbed sections, in a soft sage, ivory and gold design. Nearly every line is a fillable field, so you can type on a laptop and print later. Or never print at all.
The part that sets it apart is the Excel workbook that comes with it. Most printable planners give you lovely pages and leave the sums to you. This one totals your spending by category, counts meals for your caterer, lists the next payments due and warns you when a table is over capacity. You make decisions on paper. The workbook keeps score.
It’s undated, which helps more than people expect. Start 18 months out or 8 weeks out, and the 13 countdown checklists pick up from wherever you are.
The guest section has room for more than 360 lines, plus RSVP and meal tracking, hotel room blocks and welcome bags. There are floor plans and seating charts for tables of 8, 10 and long tables. And the day-of pages (master timeline, hour-by-hour schedule, vendor arrivals, speeches, emergency kit) are made to hand straight to your coordinator.
| Pages | 500, undated |
|---|---|
| Print versions | US Letter and A4 on white, plus a cream digital edition |
| Fillable | Yes, on nearly every line |
| Extras | Excel workbook with dashboard, budget, payments, guests, seating, vendors, checklist and gifts |
| Currency | Any (one setting in the workbook) |
What we like
- Covers every stage, from engagement to thank-you notes
- The workbook does the maths paper can’t
- Clickable tabs and a home button on every page
- Undated, so it fits any timeline
Keep in mind
- 500 pages is a lot to print. Pick sections, don’t print it all
- No A5 size
- Could feel like too much for a small, simple wedding

See everything inside →Ivory & Ash Printable Wedding Planner Book
Best for a tidy binderIf you picture a proper wedding binder on the kitchen table, with coloured tabs and a spine label, this is the planner built for that. Ivory & Ash is 199 pages split into 15 tabbed sections, and every section after Start Here opens with a divider page that lists what’s inside.
It comes in US Letter, A4 and A5, plus fillable PDF versions so you can type on screen, print and write by hand, or mix the two. You also get binder spine inserts in 1, 1.5 and 2 inch widths and two sets of section tab labels. Small things, but they make the binder look finished.
The vendor section is where it shines. Thirteen vendor types each get a compare page (three quotes side by side, with six questions worth asking) and a booked page. There’s a Before You Sign contract checklist too, which might save you from an awkward clause later.
Guests get ten numbered list pages with room for 240 to 290 people depending on page size, and seating covers 30 round tables of ten, head and long tables, two floor plans and cut-out table tokens. After the wedding there’s a US name change checklist, gift and thank-you pages and a vendor reviews page.
| Pages | 199 in 15 tabbed sections |
|---|---|
| Print sizes | US Letter, A4, A5 |
| Fillable | Yes, two fillable PDF versions |
| Checklist | 80 ready-made tasks, 12+ months out to the week after |

Vow & Order Wedding Day Binder
Best for the big dayMost planners are about getting to the wedding. This one is about getting through it. Vow & Order is a 169-page fillable PDF that holds every detail of the day: timelines, vendor contacts, the processional, seating, tips, shot lists and sixteen checklists.
It’s a gift to whoever is running the show. Think of the maid of honour who has been told to “just handle the day”, or a couple with a venue coordinator who still want their own master plan. There’s a Who to Call page sorted by situation, a name pronunciation guide for your MC, and cut-out hand-off cards for your helpers. Little touches like that stop the 4pm panic.
The companion Excel workbook is the clever bit. Type how long each event takes and the start and end times fill in. Fixed times, overlaps and gaps get flagged. Hair and makeup can run alongside without pushing the schedule. It also holds up to 300 guests and 40 tables of up to 16 seats, and works out tips as a percentage or a flat amount.
Print it in US Letter or A4, or use the hyperlinked digital version on a tablet.
| Pages | 169, fillable |
|---|---|
| Print sizes | US Letter, A4, plus a hyperlinked digital version |
| Sections | 14 tabbed sections |

See everything inside →Ivory Lane Wedding Planner
Best for paper and tabletCan’t decide between a tablet and paper? Ivory Lane gives you both properly. The digital version is 165 hyperlinked pages on a soft cream background for GoodNotes, Notability and similar apps, on iPad or Android. The printable version comes on white in US Letter and A4, ready for a binder.
It was built around the complaints couples tend to have about wedding planners: too many stock photos, links that skip around, budgets that do no maths, and calendars that run out too soon. So every page is a working page, the calendar runs to the end of 2028, and there’s a bonus Excel Budget & Guest Tracker to add things up.
The budget pages cover 24 categories with estimated, actual, paid and balance columns. There are 250 numbered guest lines, round and long table seating charts, and 12 vendor comparison pages, each with rows that suit that vendor and questions worth asking. Money fields say Amount, so any currency works. The pages say Partner 1 and Partner 2, so it fits every couple.
You also get 20 cover designs in 10 colourways, which is a nice touch if you care about how the binder looks on the shelf.

Dovetail Wedding Planner 2026 to 2028
Best for long engagementsDovetail is a 135-page planner you can write in on a tablet or print at home. What makes it stand out is the guidance on the pages: questions to answer together, tips on splitting the budget, and questions to ask each vendor before you sign. It reads a bit like a friend who has planned a wedding before and wrote everything down for you.
The linked calendar runs from October 2026 to December 2028, with year pages, an undated month and weekly plans. That makes it a good fit for a long engagement, when you want the wedding date and the next two years of life in the same place.
It also comes with a Wedding Budget & Guest Manager spreadsheet that works in Excel and Google Sheets. The dashboard shows a countdown, budget totals, the next payment due, RSVPs and meal counts, and the seating plan fills in names from your guest list and warns you when a table is too full.
The planner itself holds a guest list for 200, while the spreadsheet takes up to 300. There are 12 covers, one with a frame for your own photo.

Buying guide: what to look for in a printable wedding planner
1. Fillable beats print-only
A fillable PDF lets you type the long stuff (vendor contacts, guest addresses, contract notes) and print it neat. You can still write by hand on the printed copy. Four of the planners above are fillable. If you’d rather write everything by hand, it matters less.
2. Somewhere for the maths to happen
Here’s the thing about paper budgets. You’ll add up the column once, then a deposit changes, then you add it up again. By the third time you stop. A companion spreadsheet solves that, which is why Willow & Vow, Vow & Order, Ivory Lane, Dovetail and Seaglass all include one. If you pick a planner without one, keep your budget in a wedding budget spreadsheet and the rest on paper.
3. The right paper size
US Letter is standard in the US and Canada. A4 is standard nearly everywhere else. A5 is half of A4, which makes a lovely carry-around planner for venue tours and dress fittings. Printing on the wrong size usually means shrunk margins and a planner that looks slightly off in the binder.
4. Undated or dated
Undated planners (like Willow & Vow) start whenever you do. Dated ones (like Dovetail and Ivory Lane) give you a real calendar to plan around. If your date isn’t set yet, undated is safer.
5. Day-of pages
The wedding day is when a planner earns its keep. Look for an hour-by-hour timeline, vendor arrival times, a who-to-call list and an emergency kit checklist. Our guide to a wedding day timeline has an example schedule if you want to see what goes in one.
Printing tip: don’t print the whole planner on day one. Print the start-here pages, the budget and the checklist. Add sections as you reach them. You’ll save ink, and the binder won’t feel like homework.
How to set up your wedding binder in an afternoon
- Get a 1.5 or 2 inch ring binder, a hole punch and a pack of sheet protectors for contracts and swatches.
- Fill in the essentials first: date (or rough season), total budget, rough guest count, and your top three priorities as a couple.
- Print the sections you need now. Budget, checklist, guest list and vendor comparison pages cover the first few months.
- Add a pocket folder at the back for receipts and printed quotes.
- Pick a weekly planning slot. Twenty minutes on a Sunday keeps the binder current.

Printable wedding planner FAQ
What is the best printable wedding planner?
For most couples, Willow & Vow. It covers every stage in 500 fillable pages and comes with an Excel workbook that handles the budget, RSVP and seating maths. If you want something shorter, Linen & Vow is 63 pages and very easy to finish.
How many pages should a wedding planner have?
Enough to cover budget, guests, vendors, a checklist and the day itself. That can be done well in 60 pages or in 500. More pages mean more room for detail, not a better wedding. Print only what you’ll use.
Can I type into a printable wedding planner?
Yes, if it’s a fillable PDF. Willow & Vow, Ivory & Ash, Vow & Order and Linen & Vow all have fillable versions. Open them in a free PDF reader like Adobe Acrobat Reader, type, save, and print when you’re ready. Our guide to fillable wedding planner PDFs explains how.
When should I start using a wedding planner?
As soon as you start talking budget and guest count, ideally 12 months or more before the date. Our 12-month wedding planning checklist shows what to do and when.
Do these planners get shipped?
No. They’re instant digital downloads. You download the files after checkout and print at home or at a print shop.
The verdict
If you want one planner and you’re not sure which, get Willow & Vow. It does the most, and the workbook takes care of the sums. If you love a real binder, Ivory & Ash is the most satisfying to build. And whatever you choose for planning, Vow & Order is the one to hand someone on the day.
